A practical run sheet for coordinators using OSVector volunteer hubs — especially phone-first community days in Te Puke and Western Bay.
Before you publish
Confirm date, venue, capacity, what to bring, and whether the day is open sign-up or roster-only. Link to a project if roster-only.
Promote
Print QR poster from admin, share short link in newsletters and group texts, ensure list in regional hub is on if you want Bay-wide visibility.
Day-of
Open crew check-in link on your phone. Tap check-in or no-show; add walk-ins with name and mobile. Public hub link stays on the poster for late sign-ups if capacity allows.
After
Review sign-up count in admin. For roster projects, note who responded yes/no. Plan the next day and notify subscribers when published.
